A filing system you will actually use

Every business owner has lost twenty minutes hunting for one document: the contract, the receipt, the photo of the job before you started. A good filing system is not about being tidy for its own sake. It is about never paying that twenty-minute tax again.

Simple beats clever

The trap is building a beautiful folder structure with fifteen levels that you abandon the first busy week. The system you keep up on your worst day is the only one that works. Aim for something you could explain in one breath.

A structure that survives real life:

  • One folder per client.
  • Inside it, one folder per job or year.
  • Consistent file names, so sorting does the finding for you.

Name files so they sort themselves

The single highest-value habit is naming. Put the date first, in year-month-day order, then the client, then what it is. A name like 2026-07-12 Ramirez invoice lines up in perfect order on its own, and you can read a whole folder at a glance without opening a thing.

Pick one pattern and never break it. Consistency is what turns a folder into a system.

File once, at the moment it happens

The reason records pile up is a gap between getting a document and putting it away. Close that gap. Photograph the receipt when it lands in your hand. Save the signed quote the moment it comes back. Filing at the moment costs seconds. Filing later costs an afternoon of sorting and half-remembered guesses.

A document you filed in five seconds is a document you will find in five seconds.
